Privacy Policy

We use personal information to arrange and deliver your booking, respond to enquiries, process payments and refunds, and meet our legal obligations. This policy explains how Wangun OG handles that information.
Information we use
Booking information includes your name, email address, telephone number, nationality, participants, selected service, date, meeting or pickup details, and payment and refund references. Drift Lesson bookings also require a passport number and date of birth for participant verification and arrangements. Please do not send passport images or payment card details by email.
Card details are entered directly into Stripe Checkout. Our booking database stores payment references and amounts, not your full card number or card security code. Booking notifications and our operating spreadsheet do not include passport numbers or dates of birth.
How information is shared
Staff and service providers receive the information needed to operate your booking. We use AWS for hosting and storage, Google Workspace for email and operating records, and Stripe for payment processing. Bookings made through Bókun or other booking platforms are also subject to those platforms' privacy policies. These providers may process information outside Japan under their applicable service terms.
We do not sell your personal information. We use information for optional marketing only where you have agreed, and you may withdraw that agreement by contacting us. We may disclose information where required by law or to establish, exercise or defend legal claims.
How long we retain information
For bookings made through our own website booking system, our standard schedule is:
- Unpaid booking attempts: scheduled for deletion 30 days after creation. Deletion may take several additional days to complete.
- Passport numbers and dates of birth: removed one year after the scheduled service ends. We allow a two-day margin from the booked date for overnight services.
- Contact and operating details: retained for seven years after the same service-end reference date to handle booking enquiries, complaints and disputes, then removed. This includes email, telephone number, nationality and pickup details.
- Minimum transaction records: the customer's name, booked service, date, amount, payment and refund references, and accepted terms are retained for twelve years after the later of the service-end reference date or the last recorded payment or refund, then deleted.
A documented legal, dispute or investigation hold may extend these periods until its review date. Unresolved payment discrepancies are reviewed before the transaction and contact records are deleted. We regularly review relevant email, spreadsheet and exported copies against the same schedule; these copies are not all removed by the booking database's automated process.
Removed database information may remain in restricted recovery backups for up to 35 days. If we restore a backup, we reapply completed deletion requests and the retention schedule before returning it to use. Payment providers and booking platforms may keep their own records to meet their legal obligations. Google Workspace revision and recovery features are governed by its service controls.
Access, correction and deletion requests
Contact info@wangun-og.com with your booking reference to request access, correction or deletion, or to withdraw marketing consent. We will verify your identity using information already associated with the booking where possible. Some transaction information must remain for legal obligations or an active claim; we will explain any applicable limitation.
Website analytics
Our website uses Google Analytics to understand how visitors use the site. Embedded booking and social services may use their own cookies or similar technologies. You can manage cookies through your browser and use the providers' available privacy controls.
